How to Compress a PDF to 100KB or 200KB (for Online Forms)
Job portals, visa applications, university admissions and government websites often say something like "Upload your document as a PDF, maximum size 200 KB". A scan from your phone can easily be 2 to 5 MB, so the upload fails. The good news is that you can shrink it to the size the form wants in under a minute, for free, without installing anything.
Step by step: compress a PDF to a target size
- Open the Compress PDF tool on your phone or computer.
- Tap the box and choose your PDF.
- Find Target size and pick the limit from your form: Under 100 KB, 200 KB, 300 KB, 500 KB, 1 MB or 2 MB.
- Press Compress PDF. The tool tries a few quality levels and keeps the sharpest version that fits under your limit.
- Check the message. Before and After show the sizes, and "Target reached" confirms the file fits.
- Download the new file and open it once. Zoom in on names, numbers, stamps and signatures to make sure they are clear.
Which target should I choose?
Always choose the limit the form gives you, or the next smaller one. If the form says maximum 250 KB, choose Under 200 KB. A smaller target than you need only lowers the quality for no reason.
- Under 100 KB: for very strict forms. Best for 1 to 3 pages, such as an ID card, certificate or single letter.
- Under 200 KB to 300 KB: common for applications. Usually keeps text clear for a few pages.
- Under 500 KB to 1 MB: good quality for longer documents.
- Under 2 MB: for email or portals with generous limits.
If the file still will not fit
Sometimes the tool says it could not reach your target while keeping the document readable. This happens with many pages or detailed colour photos. Try these, in this order:
- Upload only what is asked. Remove extra pages with Delete PDF Pages, then compress again.
- Split the document. If the form allows several uploads, divide it with Split PDF and compress each part.
- Start from a better scan. A sharp, well-lit photo of a page compresses better than a dark or noisy one. See our tips in How to Convert Photos to PDF on Your Phone.
- Use Standard quality when you make the PDF. If your PDF was made from photos, recreate it with Images to PDF on Standard quality before compressing.
Already have photos, not a PDF?
Many forms want a single PDF made from photos of your documents. First turn the photos into one PDF with Images to PDF (choose A4 and Standard quality), then compress that PDF to the size you need. Need several documents in one file? Join them first with Merge PDF, then compress the combined file.
Good habits before you upload
- Keep your original file. Compression cannot be undone, so save the small version under a new name.
- Compress once. Compressing the same file again and again lowers the quality each time. Go back to the original instead.
- Check every page. Officers must be able to read your details, or the application may be rejected.
- Name the file clearly, for example
passport-copy.pdf, if the form shows file names.
Is it safe for ID cards and certificates?
Yes. The compression runs inside your own browser, so your document is not uploaded to our servers. This matters for passports, ID cards, bank statements and certificates. As always, only upload personal documents to official websites you trust.

Frequently asked questions
Can I compress a PDF to under 100 KB for free?
Yes. Open Compress PDF, choose Under 100 KB as the target size and press Compress PDF. It is free, needs no signup and adds no watermark.
Why can't my PDF get under 100 KB?
Many pages or detailed colour photos need more space to stay readable. Remove pages you do not need, scan only the pages the form asks for, or split the file into parts.
Will compressing make my document blurry?
A strong reduction makes pages slightly softer. The tool keeps the sharpest version that fits your limit. Always zoom in and check names, numbers and signatures before you upload.
Can I still select or search the text after compressing?
Not with a target size. The tool turns each page into a compressed image to reach small sizes, so text becomes part of the picture. Keep your original file if you need editable text.
Does it work on my phone?
Yes. It runs in Chrome, Safari or any modern browser on Android, iPhone, Windows or Mac, and your file stays on your device.
What is the difference between KB and MB?
1 MB is 1,024 KB. A file of 0.5 MB is about 512 KB, so it is too big for a 200 KB limit but fine for a 1 MB limit.
